The three reasons emails go to spam

Mailbox providers (Gmail, Outlook, Yahoo) decide inbox-vs-spam using three broad signals:

  1. Content — does the email look like spam? (trigger words, ALL-CAPS, link-heavy, thin copy)
  2. Authentication — can they verify you actually sent it? (SPF, DKIM, DMARC)
  3. Reputation — do they trust your sending domain and IP based on history?

1. Content — the fastest thing to fix

This is the layer you fully control, and it’s the quickest win. Spam filters weight known sales-y language heavily. The usual culprits:

  • Trigger words and phrases — “free”, “act now”, “guarantee”, “winner”, “100%”, “click here”.
  • ALL-CAPS text — reads as shouting to filters and people.
  • Excessive punctuation — ”!!!”, ”$$$”, repeated symbols.
  • Too many links — a high link-to-text ratio looks promotional.
  • Thin, template-y body — ultra-short, link-heavy emails read as bulk.

Clean copy is necessary but not sufficient — a spotless email still lands in spam if the next two layers fail.

2. Authentication — the invisible reason most people miss

Before a provider even reads your content, it checks whether you’re allowed to send as your domain. Three DNS records do this:

  • SPF (Sender Policy Framework) — lists which servers may send for your domain.
  • DKIM (DomainKeys Identified Mail) — cryptographically signs each message so it can’t be forged or altered.
  • DMARC — tells providers what to do when SPF/DKIM fail, and lets you monitor abuse.

If any of these is missing or misconfigured, providers treat your mail as unverified — and unverified mail goes to spam or gets rejected outright. This is the single most common hidden cause of good emails landing in spam.

3. Reputation — why “it used to work” stops working

Reputation is your sending track record: volume patterns, bounce rate, spam-complaint rate, and how recipients engage (opens, replies, moving mail out of spam). It’s tied to your domain and IP.

Reputation degrades when you:

  • Ramp volume too fast on a new or cold domain.
  • Get high bounces (bad list) or spam complaints.
  • Send to unengaged recipients who never open or reply.

And critically: a brand-new domain has no reputation at all, so providers are suspicious by default. This is why cold outreach from a fresh domain often goes straight to spam even with clean content and perfect authentication.
