Instantly and Smartlead Alternatives for Warmup (and When You Don't Need One)
Disclosure: this site is operated by the MailPilot team, and MailPilot is one of the alternatives named below. We will start with the case for not buying anything, because for a lot of people that is the right answer.
Do you actually need an alternative to Instantly’s warmup?
Instantly and Smartlead both bundle email warmup free. If you already pay for one of them, that bundled warmup does the core job — gradually ramping send volume on a new mailbox so providers see a consistent pattern. For a solo sender with a couple of mailboxes on one platform, that is genuinely enough, and swapping it for a paid tool is spending money to solve a problem you do not have.
Any roundup that skips straight past this is selling you something.
When is a separate warmup tool worth paying for?
1. You need to show someone else the numbers
Bundled warmup reports to you, at the account level. If you run outbound for clients, you need the opposite shape: placement per mailbox, grouped by client, that the client can see without seeing your other clients or your billing. An account-wide deliverability score cannot do that, and screenshots are not a report.
2. You send from mailboxes that platform doesn’t own
Warmup bundled with a sender warms the mailboxes you send through that sender. Mailboxes on other platforms, mailboxes used by a client’s own team, Google Workspace or Microsoft 365 inboxes that are not wired into the campaign tool — none of those get warmed. Reputation is per mailbox, so the ones left out stay cold.
3. You want warmup to outlive the sending subscription
This one catches people. If you pause or cancel the sending platform, the bundled warmup stops with it — and sender reputation decays when the sending stops. A month of paused warmup means starting the hardest part again. A standalone warmup tool keeps running independently of whatever you send with.
Why do bundled warmup inbox rates read high?
When Gmail files a message into the Promotions tab, it still carries the INBOX label. A tool that checks for INBOX and stops counts that as a clean inbox hit, even though the recipient’s Primary tab never showed it.
Bundled warmup is especially prone to this, because its job is to keep the platform’s sending healthy rather than to produce an auditable placement figure. We are not pointing fingers from a safe distance here — our own scoring had this bug until we fixed it in October 2026, and correcting it lowered our reported inbox rates.
The practical upshot: if your bundled warmup shows a high inbox rate and your replies do not match it, the Promotions tab is the first thing to suspect.
What are the alternatives to Instantly and Smartlead warmup?
| Tool | Best fit |
|---|---|
| Warmy | Broad deliverability platform; pricing driven by warm-up volume |
| MailReach | Long-established, warmup-focused rather than bundled into a sender |
| Warmbox / Warmup Inbox / Mailivery / TrulyInbox | Standalone warmup across networks of real inboxes |
| InboxAlly / Folderly | Heavier monitoring and diagnostics, higher-volume senders |
| Lemwarm | Natural fit if you already run lemlist |
| MailPilot | Per-mailbox placement with Gmail and Outlook scored separately, Promotions separated from Primary, unlimited mailboxes from $9/month, and a workspace per client for agencies |
Competitor pricing is deliberately omitted — it changes often and stale numbers mislead. Check each vendor’s own page.
What should you check before switching tools?
Warmup cannot fix authentication or a blacklisting, and those are cheap to rule out. Run the free spam score checker, SPF/DKIM/DMARC checker and blacklist checker first.

Does Instantly include email warmup?
Yes. Instantly bundles warmup with its sending platform at no extra cost, and so does Smartlead. If you already pay for either, you should use the bundled warmup before buying a separate tool — it covers the basic job of ramping volume on a new mailbox.
Why would I pay for warmup if Instantly gives it free?
Three reasons, and if none apply you should not. First, per-mailbox placement reporting: bundled warmup generally gives an account-level view, which cannot show a client their own mailboxes. Second, mailboxes outside the platform: warmup bundled with a sender only warms what you send through that sender. Third, independence: if you pause or cancel the sending subscription, bundled warmup stops with it, and reputation decays when warmup stops.
Is bundled warmup worse than a dedicated tool?
Not at the core job of ramping volume. It is usually weaker at measurement. Bundled warmup is built to keep that platform's own sending working, not to prove placement to a third party — so it tends to report one aggregate number, and rarely separates Gmail's Promotions tab from the Primary inbox.
What are the main alternatives to Instantly's warmup?
Dedicated warmup and deliverability services: Warmy, MailReach, Warmbox, Warmup Inbox, Mailivery, TrulyInbox, InboxAlly, Folderly, Lemwarm if you use lemlist, and MailPilot. They differ mainly in whether placement is reported per mailbox, whether pricing scales per mailbox, and how honestly they handle Gmail's tabs.
Can I use a separate warmup tool alongside Instantly?
Yes, and for agencies it is a common setup: send through Instantly or Smartlead, warm and monitor through a dedicated tool that reports per mailbox and per client. The two do different jobs and do not conflict, since warmup operates on the mailbox rather than on your campaigns.
